Important Information
Family Educational Rights and Privacy Act (FERPA)
The Family Educational Rights and Privacy Act (FERPA) affords students certain rights with respect to their education records. These rights include:
The right to inspect and review the student’s education records within 45 days of the day the college receives a request for access. Students should submit to the registrar, dean, chair of the academic department, or other appropriate official, a written request that identifies the record(s) they wish to inspect. The college official will make arrangements for access and notify the student of the time and place where the records may be inspected. If the records are not maintained by the college official to whom the request was submitted, that official shall advise the student of the correct official to whom the request should be addressed.
The right to request the amendment of the student’s education records that the student believes is inaccurate, misleading, or otherwise in violation of the student’s privacy rights under FERPA. Students may ask the college to amend a record that they believe is inaccurate or misleading. A student who wishes to ask the college to amend a record should write the college official responsible for the record, clearly identify the part of the record the student wants changed, and specify why it should be changed. If the college decides not to amend the record as requested, the college will notify the student in writing of the decision and advise the student of his or her right to a hearing regarding the request for amendment. Additional information regarding the hearing procedures will be provided to the student when notified of the right to a hearing.
The right to provide written consent before the college discloses personally identifiable information from the student’s education records, except to the extent that FERPA authorizes disclosure without consent. One exception, which permits disclosure without consent, is the disclosure to school officials with legitimate educational interests. A school official is defined as a person employed by the college in an administrative, supervisory, academic or research, or support staff position (including law enforcement unit personnel and health staff); a person or company with whom the college has contracted as its agent to provide a service instead of using college employees or officials (such as an attorney, auditor, or collection agent); a person serving on the Board of Trustees; or a student serving on an official committee, such as a disciplinary or grievance committee, or assisting another school official in performing his or her tasks. A school official has a legitimate educational interest if the official needs to review an education record in order to fulfill his or her professional responsibilities for the college. Upon request, the school also discloses education records without consent to officials of another school in which a student seeks or intends to enroll.
The right to file a complaint with the U.S. Department of Education concerning alleged failures by the college to comply with the requirements of FERPA. The name and address of the office that administers FERPA is:

Notification of Directory Information
At its discretion, Muhlenberg College may provide “directory information” in accordance with the provisions of the Family Education Rights and Privacy Act of 1974 (FERPA). Directory information is defined as that information which would not generally be considered harmful or an invasion of privacy if disclosed.
Designated directory information at Muhlenberg College includes the following: student’s name, date of birth (including month, date and year), college mailbox, permanent address, phone number, email address, class year, major field of study, dates of attendance, enrollment status (full-time, part-time), degrees, honors and awards received, participation in officially recognized college activities (including but not limited to intercollegiate athletics), weight and height of student athletes. Students may block the public disclosure of directory information by notifying the Office of the Registrar in writing.
Please consider very carefully the consequences of a decision to withhold directory information. A non-disclosure block will call for Muhlenberg College not to release any of this “directory information;” thus, any future requests for such information from non-institutional persons or organizations will be refused.
Muhlenberg College will honor your request to withhold directory information but cannot assume responsibility to contact you for subsequent permission to release this information. Regardless of the effect upon you, Muhlenberg College assumes no liability as a result of honoring your instructions that such information be withheld.
Requests for non-disclosure will be honored by the college until removed, in writing, by the student.
FERPA Forms
The Family Educational Rights and Privacy Act, FERPA, is a federal law designed to protect the privacy of student education records. Access forms related to FERPA including Request for Non-Disclosure of Directory Information, Request to Inspect and Review Education Records, and Request to Amend Education Records.
Graduation Requirements and Information
All Muhlenberg College students who have successfully completed 32 course units and all other requirements for the degree may graduate and receive their diploma in January, May, or October. Students graduating in May will receive their diploma in May and participate in the May ceremony. A student who graduates in January or October will receive their diploma during the respective graduation month and may choose to participate in the May ceremony. A student may only participate in a ceremony once.
Periodically during the year, the Office of the Registrar conducts a review for each senior who has applied to graduate. A senior who will not meet the requirements stated for participation in commencement will be notified that they have been removed from the list of graduating seniors. Seniors should be cautious about changing registration in the last semester of the senior year. Any change that brings a senior below the stated requirements for participation will result in the student being dropped from the graduating class. Any senior not able to complete the requirements and graduate in May will be notified by the Office of the Registrar and reclassified to either October, January, or the following May graduation.
Graduation Attire
- Cap, gown, hood, and tassel
- Tassel starts on the right and will be moved to the left after the President confers the degree
- Students who are members of a Muhlenberg Chapter of a National Academic Honors Society may wear whatever is the appropriate, nationally issued item at commencement (i.e. keys, cords).
- Students who have completed study abroad may wear sashes indicating their nation of study
Absentia
Attendance at commencement exercises is mandatory. If a student is unable to attend, they must request permission to graduate in absentia. Requests must be made in writing to the Office of the Registrar no later than March 1.
Ceremony Participation
The following guidelines apply in cases where students are granted special permission by the Office of the Registrar to participate in the May commencement even though graduation requirements are not yet complete.
In making the request to participate in commencement exercises, the student must present evidence that they will complete the degree requirements during the Summer Sessions immediately following the date of the graduation ceremony. College policy requiring that no more than four units be taken during summer sessions will remain in effect. As a result, a student with more than four units remaining for completion of graduation requirements will be ineligible to participate.
Students will make their request directly to the Office of the Registrar.
There is only one ceremony per year. Students must participate in the year they graduate.

The Office of the Registrar will notify the student if the request to participate in the graduation ceremony is granted. The following stipulations will apply.
- May march in the procession in alphabetical order.
- Will receive a blank diploma.
- Name will be read and will appear on the commencement program but will not be included in the final May graduation list.
- Will not actually be a recipient of the degree until such time as all degree requirements are completed and a diploma has been issued.
- Assuming completion of requirements during the summer, the student will officially graduate in October.
- Name will appear on the official October graduation list approved by the faculty and conserved in the archives of the college.
Graduation Requirements
Requirements for Bachelor of Arts or Bachelor of Science:
- All General Academic Requirements must be fulfilled
- Thirty-two graduation course units must be completed. At least 16 taken at Muhlenberg
- Completion of a Major field of study
- A cumulative grade point average of not less than 2.00 based on the total number of course units attempted at Muhlenberg College
- A cumulative grade point average of not less than 2.00 in a major field based on the total number of units of major course work
Information for First-Year and Transfer Students
Credit Information for Advanced Placement (AP) Courses
Official College Board transcripts should be received by the Muhlenberg Registrar’s Office before the beginning of the fall term and no later than the last day of a student’s initial fall term.
Students are responsible for contacting The College Board and requesting official paper score reports be sent directly to the Muhlenberg Registrar. Use the College Board score reporting services described on the College Board website and have all of your scores sent to Muhlenberg using the four-digit college code number = 2424.
Unofficial score reports, not received directly from the College Board (e.g., from the high school or from the student) are not accepted by Muhlenberg for awarding degree credit.
AP scores that result in Muhlenberg credit or placement are posted on your Muhlenberg record and can be viewed on your Workday Student record, under Academics, then External Records.

Credit is granted at the discretion of the department head(s) involved, according to the following departmental policies in place for the coming fall term.

Credit Information for International Baccalaureate (IB) Courses
Official International Baccalaureate transcripts should be received by the Muhlenberg College Registrar’s Office before the beginning of the fall term and no later than the last day of a student’s initial fall term.
IBO only accepts the student’s request on an IBO transcript request form submitted to them by mail (not fax) and full details and fees are outlined on the IBO website. Transcripts are forwarded electronically from the IB office to the Muhlenberg College Registrar once students have authorized the release of results to Muhlenberg. Unofficial score reports, not received directly from IB, (e.g., from the high school or from the student) are not accepted by Muhlenberg for awarding degree credit.
Muhlenberg College will consider for credit or advanced placement only IB courses with Higher-Level examination results of 5, 6, or 7. With the exception of philosophy, Standard-Level results do not receive Muhlenberg credit. Specific credit and placement policies are available on this page, accessible at muhlenberg.edu/IB. IB scores that result in Muhlenberg credit or placement are posted on your Muhlenberg record, and can be viewed on your Workday account.

Credit Information for Transfer Courses
- Students may supplement their academic experience here by engaging in studies away from our campus. Listed below are the policies we follow with respect to transferring credit to Muhlenberg. In order to be considered for Muhlenberg credit, courses taken elsewhere must be consistent with those taught at Muhlenberg or supportive of a liberal arts degree.
- Almost all courses taken elsewhere must be transferred to Muhlenberg College. The only exception are courses offered through the Lehigh Valley Association of Independent Colleges (LVAIC) consortium.
- In order to be eligible for transfer, a course must typically be offered at a regionally accredited institution.
- After matriculating at Muhlenberg, students must receive pre-approval in order for a course to be considered for transfer toward the Muhlenberg degree.
- In order to be eligible for transfer, all courses must be consistent with the ideals of Muhlenberg’s liberal arts education. These ideals include attention to how students learn as well as what they learn. Such courses commonly include:
– critical thinking, analysis, and synthesis,
– interaction between the faculty member and the student,
– interaction among students,
– developing arguments through logic, evidence, and reason, writing, and
– faculty comments on writing assignments and/or exams - Department chairs assess courses for transfer based on content (as reflected in course descriptions and syllabi), pedagogy, and contact hours. Students must provide course syllabi and catalog descriptions when requesting transfer approval.
- The college does not distinguish between online courses and other courses for general transfer credit counting towards the graduation requirement of 32 course units. For purposes of statistical reporting only, students will be asked to indicate on the Transfer Course Form whether the course is being taught online.
- No online courses taken while studying abroad are eligible for course transfer.
- Courses of a vocational or technical nature are generally not acceptable for transfer. Remedial courses are not acceptable for transfer.
- At least 16 course units must be completed at Muhlenberg College. Consequently, no more than 16 non-Muhlenberg course units (whether transferred or awarded for test scores) may contribute to the 32 course units required to earn a bachelor’s degree at Muhlenberg.
- The college will accept no more than five (5) transfer course units during a single academic term (fall or spring), while four (4) transfer course units is the limit for any combination of summer terms in a single summer. No courses taken concurrently elsewhere – including online courses – that exceed the course load limit of 5.5 units per semester will receive credit.
- Only courses for which a grade of “C-” or better was earned will be considered for transfer to Muhlenberg. Courses not using a traditional letter grade (A-F) will be considered for transfer only if additional documentation detailing successful completion is provided.
- Grades earned in transferred courses will not be included in the Muhlenberg grade point average nor will they be used to determine graduation honors. In order to be eligible for graduation honors, students must complete a minimum of 17 graded (not pass/fail) courses in residence.
- Accepting courses for transfer and applying them toward degree requirements are separate considerations. Courses may transfer as elective credits but not satisfy specific requirements.
- The college normally awards transfer credit to courses taken within ten years of entering Muhlenberg. Courses that have been taken more than ten years prior will be evaluated on a course-by-course basis for transfer approval.
- The college will evaluate military credits on a course-by-course basis for transfer approval.
- The college reserves the right to accept or deny the awarding of transfer credit.
- Many institutions do not use a course unit system similar to Muhlenberg’s. Use the table below to convert between credit hours and course units:

18. If a student seeks to fulfill a major, minor, or general academic requirement through a transfer course, the appropriate department chairs and program directors will evaluate whether a particular course will fulfill that requirement.
19. Students seeking a Writing (“W”) designation for a transfer course must submit an application to the Writing Program Committee, including the syllabus and in some cases, a writing portfolio. The transfer course should resemble as closely as possible the structure of a “W” course at Muhlenberg.
20. Students seeking Pennsylvania teacher certification are expected to take all required education courses at Muhlenberg. Exceptions may be granted only with the approval of the Education Department.
Transfer Course Process:
Before a student enrolls in a course elsewhere:
- Obtain course descriptions for any course(s) of interest at another institution.
- Discuss plans for completing coursework elsewhere with an academic advisor and secure his or her signature before proceeding.
- Visit the academic department that would most likely offer the course if it were taken here. The department chair is responsible for the decision to approve or deny coursework for transfer to Muhlenberg.
After the student completes the course:
- Forward an official academic transcript to Muhlenberg. Please direct academic transcripts to Muhlenberg College, Office of the Registrar, 2400 Chew Street, Allentown, PA 18104 or by email to registrar@muhlenberg.edu. No outside coursework will be posted to a Muhlenberg record until an official academic transcript is received from the institution attended.
- If any type of financial aid was received through Muhlenberg, a financial aid transcript must be forwarded as well. Failing to do so may jeopardize eligibility for aid in future terms. Please direct financial aid transcripts to Muhlenberg College, Office of Financial Aid, 2400 Chew Street, Allentown, PA 18104.
Transfer Coursework for First-Year Students:
Students who have taken college coursework may seek credit for such work by submitting a college transcript, course description, and, in some cases, other course materials. The Office of the Registrar, working with the appropriate Department Chair, will evaluate the coursework.
- If a student wishes such a course to be evaluated by Muhlenberg College, the student’s advisor should be informed during the summer advising period. On the initial registration worksheet in June, there is an area to indicate that the student took college level work. At the end of June the Registrar’s Office will send a detailed letter to these students informing them of what to send to the Registrar’s Office for course transfer.
- The following materials should be submitted to the Registrar’s Office before August 1:
- A college transcript issued by an accredited college or university and the catalog course description.
- Departments may, at their discretion, request additional course materials for review.
- Should the course(s) be accepted for transfer, an advanced standing form will be completed detailing the course equivalent.
- All materials should be sent to the Office of the Registrar.

How to Receive Your Academic Records
Transcripts
The transcript is the complete and unabridged record of all academic work attempted or credited at Muhlenberg College, regardless of whether the student was enrolled in undergraduate or graduate courses, as a degree-seeking student, or a non-degree student. Muhlenberg does not provide official transcripts which segregate individual courses, schools, or terms or reflects only study at one level.
Official transcripts bear the college seal and the Registrar’s signature and are provided directly to individuals, schools, or organizations with a signed release of the student.
As part of the online ordering process, you can ask to have the transcript delayed until the current term’s grades or degrees are posted to the record.
The National Student Clearinghouse, our transcript service provider, recommends use of Chrome (PC) or Safari (Mac) web browser for an optimal ordering experience. Be sure to check your information as you enter it; incorrect information, such as a misspelled email address or a single-digit error on a birth date, SSN, or ID, can result in delays due to required research on our part to verify the record prior to processing.
The Registrar does not provide unofficial transcripts or other unofficial documents. Current students who want a simple listing of their Academic Course History should use that link in Workday. Former students and graduates only have access to an official transcript.
Procedure for Requesting a Transcript
Muhlenberg College complies with all federal regulations regarding the release of education records as established by the Family Educational Rights and Privacy Act. All requests to release information from academic records must include a student’s legal signature or approval.
Students must request a transcript using the web service of the National Student Clearinghouse. You can place as many orders as you like in one session using any major credit card. Your card will only be charged after your order has been completed. Updates on the status of your order updates will be emailed to you by the system. You can also track your order online using your email address and order number. Your signed consent may be required to fulfill your transcript order. For your convenience, a consent form will be generated for your order that you can return via fax, mail, or as a scanned email attachment. Click on the Order Transcripts Online link to access the ordering site.
The student is the only person who can authorize the release of information of the academic record. No one else has the legal right to order a transcript.
Diplomas
Diplomas will be issued to students upon completion of their degree or certificate requirements if all requirements are completed, officially documented, and approved by the faculty before October 20, January 20, or the approved date in May, respectively. Students completing their respective requirements in October or January receive their diplomas soon thereafter and are eligible to participate in the symbolic awarding of degrees at the appropriate May commencement.
The diploma shows the student’s official or legal name as it appears in the Muhlenberg record, unless changed in writing by the student prior to the final diploma-preparation date. Muhlenberg has only one format for all diplomas, notably that the text is in Latin. (A translation to English appears below.) No optional changes are available.
A replacement diploma in the name of the student as it appeared at the original time of issue will be provided upon written request of the student, and payment for materials, printing, and delivery (currently $30). The replacement will be provided in the current format and with current signatures.
If a student’s name has been legally changed by marriage, court order, or gender change, a new diploma may be issued upon written request, including legal proof of the change and payment of the fee. Requests for diploma replacements for deceased alumni by a spouse or child will be considered if accompanied by the written request noted above, an explanation of the circumstances, a death certificate, and documentation of the relationship. Muhlenberg reserves the right to determine whether such a replacement is possible and appropriate.
For framing considerations, the Muhlenberg diploma is “landscape” and measures 10 inches by 8 inches (25.4 cm. by 20.4 cm.).
